1. Introduction
These Terms and Conditions (“Terms”) apply to all attendees, stallholders, participants, contractors, volunteers, and any other persons (“You”) attending Riverfest (“the Event”).
The Event is organised by Newport Carnival & Community Events Association (“the Organiser”, “We”, “Us”).
By attending or participating in the Event, You agree to be bound by these Terms.
2. Nature of the Event
Riverfest is a free-to-attend public event. No general admission ticket is required.
Certain activities, attractions, or stalls may charge fees independently. The Organiser is not responsible for any transactions made with third-party vendors.
3. Cancellation, Changes & No Refund Policy
The Organiser reserves the right to cancel, postpone, or alter the Event at any time due to circumstances beyond our control, including but not limited to:

- adverse weather conditions

- flooding or environmental risks
-
- pandemics or public health concerns
-
- licensing or regulatory restrictions
-
- safety or security issues
-
- any other unforeseen circumstances
No Refunds
Due to the significant costs involved in organising the Event:

- No refunds will be issued under any circumstances, including if the Event is cancelled, postponed, or significantly changed.

- stallholder fees

- vendor fees

- sponsorship contributions

By making any payment related to the Event, You acknowledge and accept this strict no-refund policy.
4. Right of Admission & Removal
The Organiser reserves the right to:

- refuse entry to any person
-
- remove any person from the Event
-
- restrict participation in any activity
This may be done at our sole discretion, without explanation or liability.
Reasons may include (but are not limited to):

- unsafe, abusive, or disruptive behaviour
-
- failure to follow instructions from event staff, stewards, or authorities
-
- breach of these Terms
Any individual asked to leave must do so immediately.
5. Behaviour & Conduct
All attendees, stallholders, and participants must:

- behave respectfully towards others
-
- not engage in harassment, discrimination, or abusive behaviour
-
- comply with all laws and regulations
-
- follow all instructions from event staff and officials
Everyone involved in the Event is expected to respect one another at all times.
You are responsible for your own behaviour and for anyone under your supervision.
6. Health & Safety
You attend the Event at your own risk.
The Organiser will take reasonable precautions; however:

- we cannot guarantee a completely risk-free environment

- you must follow all safety guidance and signage
Failure to comply with safety instructions may result in removal from the Event.
7. Liability Disclaimer
To the fullest extent permitted by law, the Organiser shall not be liable for:

- loss, theft, or damage to personal property
-
- personal injury or illness (unless caused by our negligence)
-
- any indirect or consequential losses
As this is a free public event, the Organiser accepts no liability for losses arising from attendance.
Nothing in these Terms excludes liability where it would be unlawful to do so.
8. Stallholders & Vendors
All stallholders and vendors must:

- comply with all legal and licensing requirements
-
- hold appropriate insurance
-
- operate safely and responsibly
Stallholders are fully responsible for:

- their products and services
-
- customer transactions
-
- any claims, loss, or damage arising from their activities
The Organiser accepts no liability for disputes between vendors and customers.
9. Data Protection
If You contact the Organiser or submit information (e.g. applications, enquiries), we may collect and use your data to:

- respond to enquiries
-
- manage the Event
-
- communicate about current or future events
Your data will be handled in accordance with UK data protection laws and will not be shared unnecessarily with third parties.
10. Photography & Media
The Event may be photographed and filmed.
By attending, You consent to the use of your image or likeness in promotional materials, social media, and marketing without compensation.
11. Children
Children must be supervised at all times by a responsible adult.
The Organiser accepts no responsibility for unattended children.
12. Use of Land & Authority Rules
The Event takes place on land governed by local authority regulations.
All attendees must:

- comply with local bylaws

- follow any instructions from council officers or emergency services
Failure to comply may result in removal from the Event.
13. Environmental Responsibility
All attendees must:

- dispose of waste responsibly

- respect the local environment and surroundings
Any damage to the site or environment may result in removal and potential liability.
14. Changes to Terms
The Organiser reserves the right to update these Terms at any time. Updated Terms will apply immediately upon publication.
15. Governing Law
These Terms are governed by the laws of England and Wales.
